Cancellation and Refund Policy
Last Updated: 8 September 2026
This Policy explains what the reservation fee is, when it is refunded, and how to cancel a booking made through nextBooq. It forms part of our Terms and Conditions and is published in compliance with the Consumer Protection (E-Commerce) Rules, 2020.
1. What you are paying for
When you reserve a table you pay a reservation fee, not the price of a meal.
Two things about that fee are set by each café individually, and both are shown to you before you pay: whether it is deducted from your final bill, and whether it is refunded if you cancel. Neither is a platform-wide rule, so always check the terms displayed on the café's booking page.
- The reservation fee amount is set by each café and is shown to you in full, inclusive of all applicable taxes, before you pay. There are no additional charges added at any later stage.
- The reservation fee secures your table for the date, time, and party size shown at checkout.
- Whether the fee is adjusted against your bill is set by each café, and is shown to you before you pay. Some cafés deduct it from what you pay at the table; others charge it separately, in which case it does not reduce your bill. The café's choice is displayed on its booking page and again at checkout.
- nextBooq is not the seller of food, beverages, or dining services. The café is. nextBooq provides the booking technology.
Where your money goes: each café collects reservation fees into its own Razorpay account. Your payment goes to the café directly and is never held by nextBooq. This is why refunds are issued by the café — see §4.
2. Holding a table
When you select a time slot, the table is held for you for a short window (shown at checkout — typically 10 minutes) while you complete payment.
- If payment is not completed within that window, the hold expires automatically, the table is released back to availability, and nothing is charged.
- An expired hold is not a booking, and no fee is due.
3. Cancelling a reservation
To cancel a reservation:
- Open My Bookings on the café's page, select the reservation, and choose Cancel this booking. You can do this yourself at any time before you check in. The table is released immediately, and the cancellation cannot be undone.
- If you have already checked in, or cannot get into your account, contact the café directly using the phone number on its booking page — or email nextBooq support at nextbooq@gmail.com, quoting your reservation reference.
Cancel before the café's stated cut-off if you want the fee back. That cut-off is shown to you before you pay. Cancelling later still frees the table — which we would always rather you did than simply not arrive — but the café is not obliged to return the reservation fee.
4. When you get your money back
| Situation | Outcome |
|---|---|
| You cancel before the café's cut-off | Full refund to your original payment method — if that café offers refunds on cancellation. Cafés that do not are marked "non-refundable" before you pay |
| You attend your reservation | Adjusted against your bill if that café adjusts it; otherwise it stays a separate charge |
| The café cancels (closure, operational issue, overbooking) | Full refund, in every case |
| The Platform fails — payment succeeded but the booking could not be honoured | Full refund. Such payments are automatically flagged for manual refund review |
| You do not arrive (no-show) | The reservation fee may be forfeited to the café, per that café's stated no-show policy and grace period, both shown to you before you pay |
| You cancel after the café's cut-off | Treated per that café's stated policy — which may be full forfeiture. Check the policy shown at booking |
| The café's fee is marked non-refundable | No refund on cancellation. This is disclosed on the booking page and at checkout, before any money is taken |
Refund timelines
When a cancellation entitles you to a refund, the Reservation is placed on that café's refunds-owed queue and the café issues the refund from its own Razorpay account. nextBooq never holds your money and cannot issue the refund itself. Once initiated, the amount typically reaches your original payment method within 5–7 business days, depending on your bank or card issuer. nextBooq does not control this timeline.
If a refund you are owed has not arrived within 10 business days, contact us at nextbooq@gmail.com and we will follow it up with the café on your behalf.
5. A note on no-shows
Deposit forfeiture on a no-show exists so that cafés holding a table for you are not left out of pocket when nobody arrives. To be fair about it:
- the grace period and the forfeiture consequence are shown to you before you pay;
- if you tell the café you cannot make it before their cut-off, you get a full refund — provided that café offers refunds, which is stated before you pay;
- if you arrive late but within the grace period, your table is honoured;
- if you believe a reservation fee was forfeited unfairly, raise it with the café first, and escalate to our Grievance Officer (§7) if it is not resolved.
6. Failed and duplicate payments
- If your payment fails, no confirmed booking results and no amount is captured. The table is held only until the payment window shown at checkout runs out, after which it is released automatically. If your bank shows a pending amount, it is an authorisation hold that is normally released within 5–7 business days.
- If you are charged twice for the same reservation, contact nextbooq@gmail.com with both payment references and we will arrange the duplicate to be refunded in full.
7. Complaints
Complaints about food, service, or the café's own conduct should be raised with that café first.
